# AI Voicemail

> How Voxworks replaces traditional voicemail: your AI receptionist answers the calls you miss, takes a real message, and delivers the transcript, recording and summary to your team.

## What is AI Voicemail?

AI Voicemail is Voxworks' answer to the missed-call problem. Instead of sending callers to a recorded greeting and a beep — where most of them hang up — your [AI receptionist](/receptionist/overview) answers the call, has a conversation, takes a message or arranges a call back, and leaves you a transcript, recording and summary of what the caller actually wanted.

In other words, voicemail at Voxworks isn't a mailbox you dial into. It's an answering layer: the receptionist catches the calls you'd otherwise miss, and every one of them lands in your call history as a fully documented conversation rather than a thirty-second recording you have to play back.

A dedicated AI Voicemail area — a personal mailbox whose calls stay private to you, with its own inbox and a per-call option to share individual messages with the rest of your team — is part of the beta, available to selected invites only. Reach out to the Voxworks team if you'd like to join.

## Answering the calls voicemail used to catch

The receptionist slots into the exact place voicemail sits today: after your phone rings out. Call forwarding mode is what controls when she picks up.

* **Call forwarding mode** — when you keep your existing number and forward it to Voxworks, the in-editor forwarding guide offers two modes: **Forward all calls** ("Every call goes straight to your receptionist.") and **Only when unanswered** ("You get first crack at the call; the receptionist picks up what you miss (replaces voicemail)."). The second mode is the direct voicemail replacement — you answer what you can, and she handles the rest. One practical caveat from the forwarding guide: if your PBX or phone system sends missed calls to its own voicemail, disable voicemail on the main number (or set its timeout longer than the overflow) so the receptionist answers first. Otherwise your old voicemail keeps beating her to the call.

## Taking a message instead of recording one

Switch on the **Take a message** tool in the **What *(name)* can do** card — "Captures the details and notifies you." When a caller needs something the receptionist can't resolve on the spot, she asks for their name, best contact number and the reason for the call, confirms the number back to them, and lets them know someone will follow up before ending the call politely. If **Transfer to a human** isn't set up, she'll also offer to arrange a call back for any caller who asks to speak to a person — a separate fallback that keeps the call from ending as just a missed one.

Because every receptionist call is a real conversation, the "message" you receive is far richer than a voicemail recording:

To have messages pushed to you rather than checked, switch on the **Post-Call Summary** card — "Send the call summary automatically after this receptionist finishes a call." — with **Email** and **SMS** channels. ## Reviewing your messages

Everything the receptionist handles appears in two places:

* **The receptionist's Calls tab** — headed **Calls *(name)* handled**, with search, status chips (**All**, **Completed**, **Voicemail**, **Hang-up**, **Rang out**, **Dropout**, **Failed**) and a date range. Selecting a call opens the detail pane with the summary, transcript and recording — see [Call Details](/calls/call-details).
* **The Call Log** — her calls sit alongside the rest of your team's call history, with the same filters and saved views. See [Call History](/calls/history).

The **Voicemail** status chip refers to the call outcome — calls that ended at a voicemail system — not to messages she took; message-taking calls end as **Completed**. The full list of statuses is on [Call Statuses](/calls/statuses).

## Voicemail on outbound calls

The reverse scenario — your voice agent placing a call and reaching someone else's voicemail — is handled separately. Outbound scripts can carry a **Voicemail** message in the script editor's Call Settings; when the agent detects a voicemail greeting, it waits for the beep, speaks that message exactly as written, and ends the call with the **Voicemail** status so you can spot and retry those calls.
